Getting Clear: Real World Lessons from Our Process Mapping Workshop

We recently hosted a live workshop, Process Mapping with Canva. The class was designed for seasoned professionals looking to cut through operational noise and reclaim control.

During the session, one attendee shared that their current client onboarding process was a major point of friction. When we first meet many of our customers, they feel the same way. They often get frustrated when they're not sure if they've forgotten a critical step or they can't remember where the documentation is located for that task that they just did the other week. Why Bother Mapping Your Processes?


When you map out a workflow, you stop carrying the weight of the process entirely in your head or scattered emails and documents. By laying out the process visually, you gain immediate, high-level understanding of how tasks flow and where you may need to delegate, make changes, or automate. Visual mapping allows you to:

  • Spot Bottlenecks: Instantly see where projects are getting stuck or delayed.

  • Conserve Your Energy: Consistency in your routines frees up massive mental bandwidth for higher-level leadership.

  • Identify Areas for Quick Wins: It bears repeating, once a process is on paper, it becomes easy to see which steps you can combine, simplify, or automate entirely.


But first let's review what some of the flowchart shapes mean.


The Simple Language of Flowcharts


You don't need an advanced technical background to understand a process map. In fact, you only need to recognize a few basic symbols to get started:

  • Long Ovals: These shapes simply mark the Start or Stop points of your workflow.  

  • Rectangles: These designate standard Actions and Tasks along the way.  

  • Double Boxes: These are used to identify a Sub-process that contains its own set of smaller steps.  

  • Diamonds: These represent Decisions (usually a "Yes" or "No" fork in the road) that change your next step.  

  • Arrows: These act as your guide, showing the exact Direction and momentum of the flow.  


When you are creating an internal document, the shapes aren't important. It's most important that you can easily understand the process at a simple glance.


Pro-Tips for Navigating the Canva Whiteboard


While advanced enterprise platforms like Microsoft Visio exist, we recommend the Canva Whiteboard feature to get started for its approachability and free access. Many businesses are already using Canva for their marketing and design. If you are opening a blank whiteboard in Canva for the first time, follow these steps:


  1. Log into Canva.

  2. Choose Whiteboard.

  3. Select Elements.

  4. Select Shapes from Browse categories.

  5. Scroll down to Flowchart shapes.

Once you have found the flowchart shapes, you can drag them on the board.


Master the "Click-and-Hold" Arrow Trick


Canva has a wonderful auto-align feature to help you space your boxes cleanly. However, connecting them can sometimes feel tricky. If you simply click the directional arrows surrounding a shape, Canva will automatically generate a brand-new, identical box.


To connect boxes you've already placed on the whiteboard, click and hold the directional arrow on the first shape, drag your mouse to the next box, and let go. It will then lock perfectly into position!


Shift from Perfection to Progress


As you build out your first few diagrams, remember to never let the pursuit of a perfect process get in the way of a functional one. Business workflows are living organisms. They naturally adapt as you use different tools, grow your team, or your workload shifts. Map out the reality of what you do today, and commit to refining it over time to find a smoother, more efficient path.
